Patients are responsible for payment for all services provided by Bluewater Behavioral Health. Co-pays, deductibles or self-pay amounts are due at the time of visit. Unfortunately, insurance companies do not always provide clear, simple instructions and fee schedules to determine amounts due. We will assist in confirming benefits prior to your first visit, but we cannot always reply upon the accuracy of the information provided by the insurance company.
Please note that the benefits quoted to us by the insurance company are not a guarantee of payment. Payment by the insurance company is subject to the terms and conditions provided within the contract between the patient and the insurance company.
Please bring all insurance cards and personal identification with you to your first visit, even if you have uploaded copies of your cards to the patient portal prior to your appointment.
Many insurance plans also require patients or family to request and obtain prior authorization for mental health services/treatment. Please review your plan benefits prior to calling to make an appointment.

Bluewater Behavioral Health has an administrative fee of $10-$100.00 for various letters, records, etc. depending on complexity.
Fees for consultation with attorneys, teachers, and other agencies will be discussed before the service is provided. Any telephone consultation fees added to your account should be paid at your next visit.
Frequently, patients request letters or completion of other reports to better inform schools, employers, or insurance reviewers about their treatment. No records are ever released without your permission. Some requests may incur additional professional fees. Letters to endorse pets as “emotional support animals” (ESA) that are already owned will not be considered. Bluewater Behavioral Health does not schedule appointments to solely assess for an ESA or to write an ESA support letter. An ESA can only be recommended as an essential part of a treatment plan designed to address a disability associated with a diagnosed psychiatric condition, and is always based on the provider’s clinical judgment.
Payment can be made by cash, check, or major credit card and is expected at the time of service unless prior arrangements have been made.
No-Show/Missed Appointment Fee:
A $65 no-show/late cancellation fee per first follow-up visit missed. Additional no-show/late cancellations will be charged $85. The first missed intake appointments will be charged $100, and may result in denial of future treatment/appointments. A second missed intake appointment will be charged $200. Two or more no-shows/late cancellations may result in termination of treatment. Fee is not applicable to VA patients.
It is our goal at Bluewater Behavioral Health to provide you accessible, high quality and timely mental health care. In order for us to assure convenience and accessibility to all of our patients, it is important that patients arrive timely for all scheduled appointments or cancel the appointment 24 hours in advance. This policy allows us to make better use of our available appointment times for those patients in need of psychiatric care and therapy.
A “No-Show/missed appointment” is an occurrence where someone does not show up for an appointment and does not cancel the appointment in advance of the scheduled date and time. If you do not show up for your appointment or do not cancel with appointment 24 hours in advance, we will record this in the record as a “No-Show/missed appointment” and result in a fee for a missed appointment. This fee will not be submitted to your insurance; it will be charged to the patient. You will not be able to reschedule with a provider until your fee is paid. Excessive missed appointments may result in dismissal from care, as stated in your intake packet.
Refill Requests (30-day maximum prescribed with 1 missed appointment):
Record keeping for prescription refills that are not associated with office visits has become an increasing burden. Some refill requests are directly from patients. Others come from a pharmacy or mail-in service. There is an administrative charge of $25.00 for any request for prescription refills. This charge applies regardless of the source of the request. It will be important for you to keep track of the number of refills written, so you may schedule your follow-up appointments in a timely manner.
